
How to Handle Membership Concerns:
When a member of the chapter reaches out to the standards board with a concern, the standards board should:
Meet with the member
Gather details about the claim
Who, what, when, where?
Investigate the validity of the claim
Review the details and facts provided
Meet with other chapter members involved as necessary
Based off your finding determine if any action needs to be taken
Determine what bylaw/bylaws may have been violated
Determine what corrective action may need to be taken and vote on it
Document your findings
Inform the involved parties of your decision
Meet with all parties that were involved individually to share your decision and the reasoning behind it
Share the board's decision and details with your chapter's executive board
How to address questions from the chapter
Membership concerns should stay private. Any questions that you receive from chapter membership that were not involved with the situation should be addressed at a high level by sharing which bylaw was violated. No details or names should be shared.
How a Standards Board Operates:
Standards board should establish an independent email which is accessible to all members of the standards board, and known to all members of the chapter for their ability to reach out. Membership can use this email to contact standards with questions, concerns, or to schedule a meeting. Additionally, standards board should establish reoccurring meetings to discuss bylaw updates, membership concerns, and other standards board business.
Standards board will meet with members as necessary to discuss membership concerns. When necessary, standards board can require members to meet to discuss bylaw infractions or other chapter violations they were involved in that may have imposed a risk to the chapter.
Documentation and Communication:
Standards board should document all discussions in a secure location to ensure privacy. Standards board should utilize their secure independent email for communications with membership. Access to these notes and email should only be accessible by members of the current standards board. Any important physical documents should be saved in the standard board's secure drive. Handoff of these accounts should happen at the beginning of a new term for each standards board and passwords should be changed.
