
Creating Point Requirements
It is the responsibility of the VP of Communications to set the point requirements for each semester for the members. Upon executive board approval, VP of Communications will present the points requirements to members at the first chapter of the semester. Below there is a link to a template your chapter can use as a starting point for a points system. Along with everything else we've covered, each chapter has a different variation of how they operate and organize. A points system is no different, the template at the bottom of the lesson is to give you a starting point, but feel free to change or create your own template.
How many points members must earn each semester will vary based on your chapter. It is important that your selection for each category be enough for members to be engaged/involved with the chapter, without getting burnt out. Additionally, some chapters choose to give lower point requirements to seniors during their last semester. Again this is up to your chapter's discretion.
An example for for a semester worth of points is "Professional - 4 , Social - 3 , Philanthropy 3". Remember, there needs to be more events for each category than what is required for the semester. You need to give multiple opportunities for members to reach their goal requirement for the semester.
Why Track Attendance?
Tracking attendance at every event for your chapter is crucial when looking at member involvement. Why is this important? Member involvement is important to keep track of to ensure that everyone in the chapter is participating in chapter events and meets point requirements for the semester. If a member does not meet event requirements they may need to meet with Standards Board per the Bylaws.
It is the responsibility of the VP of Communication to track member attendance at all events including Weekly Chapter Meetings, Recruitment Events, Pillar Events (Professional, Social, Philanthropy), and any other events required at your chapter level (i.e. initiation, elections, etc.). The easiest way for a VP of Communication to track attendance is to attend the event themselves and record members names in your point spreadsheet, notes app, or on a piece of paper. If the VP of Communication will not be in attendance it is up to them to ask another member of the executive board or whoever organized the event to record member attendance then send to them.
Recruitment Events
All recruitment events are mandatory for all chapter members, this includes voting day. We recommend establishing your recruitment dates/times ahead of the semester so that members have no conflicts. If members know they have a conflict with any recruitment they should notify the VP of Communication ASAP.
Weekly Chapter Meetings
Chapter Meetings are mandatory for all members. Special circumstances may arise such as class conflict, personal matters, and work shifts. However, we recommend establishing a date/time for Chapter ahead of the semester so that members can schedule around Chapter so that they may attend every week.
Pillar Events (Professional, Social, Philanthropy)
Typically Pillar events are not mandatory attendance. At the beginning of the semester, your VP of Communication will present to your chapter the points requirements for the semester. However, this is dependent on your chapter. Do not wait until the last minute to get your attendance points in because opportunities may run out near the end of the semester.
Advice for PGN members is to attend events because they are fun and you want to spend time with your brothers while gaining valuable experience. If you take this approach, you will have no problem meeting point requirements and being an active member in the chapter.
