Voting is one of the most crucial aspects of the recruitment process. This is where everyone gets a say in who becomes a member of PGN. Everyone's voice should be heard during this matter, especially given different members might have received different feelings / opinions towards a PNM during the recruitment events leading up to voting.

This final event should be formal to the point that everything is done correctly via the constitution and established bylaws. Each PNM should receive a fair chance and be included in the voting review.

Constitution voting bylaws should include:

  •  The percentage threshold needed for a PNM to advance as a member or not

  • What the process looks like. Examples can include:

    • discuss each PNM first, then vote

    • discuss and vote simultaneously one by one

    • whether it's hand written, electronic poll, etc.

  • If and when an executive override is allowed

Discussion expectations:

  • PNM discussions should be respectful

  • Be elaborative on discussions and objections, or when in favor of a PNM

    • include reasonings and examples (from the recruitment week)

    • Avoid speculation or "I feel like" statements

  • President/VP Membership (or executive board as a whole) and the recruitment chairs (if applicable) should run the discussion by calling on members to voice their opinions on a PNM

  • Be constructive when relaying any PNM observations

  • Speak on what was witnessed during the recruitment process itself and try to avoid discussing any potential rumors that can arise from outside sources during voting

  • Up to chapter discretion, however, it is recommended to remove any members with a prior affiliation to a PNM during voting

Areas to review:

  • Review final evaluations from interview and / or other recruitment events

  • Respect

    • Social media presence can be included in this. How someone shows up online is indicative of how they may represent the PGN Brand and your chapter on campus

  • Involvement on campus

  • Experience outside of school (any jobs / sports)

  • Social / outgoing

  • Reputation

    • Consider how the Potential New Member presents themselves and how they might affect the reputation of your chapter

  • Willingness to run for positions

  • Overall interest in personal and professional growth

  • Attentiveness during events

  • Grades (GPA may be reviewed during internal voting)

Bid Delivery: Bid invitations into PGN should be given the day after voting. For those PNMs accepted, it is recommended to deliver the bid in person, typically with groups of members. You can find chapters normally delivering a personalized PGN acceptance note. For those PNMs rejected, it is recommended that the Recruitment Chairs or VP of Membership call them personally to convey the decision. This is generally the hardest part of recruitment, albeit integral to remain professional and transient.
