2025 Chapter Leaders,

Congratulations on your new roles! We hope you all enjoyed a well deserved winter break. This page will serve as your one stop shop for all PGN National resources you’ll need to access throughout the course of the Spring semester. Please take the time to go through each section and understand the requirements.

Important - Please Read!

  • We have modified the PGN Community membership process this semester based on your feedback to make this easier and faster. Please be sure to follow the email instructions that will be sent out to facilitate this process. At a high level the process is:

    1. Chapter VP Membership / New Member Educators complete provided template with New Member information and send to PGN Admin

    2. PGN Nationals Admin bulk imports new members into the PGN Community

    3. PGN Nationals Admin will bulk export entire chapter information and send to VP Membership and President

    4. Chapter VP Membership is responsible for identifying any changes required in overall member status and sending back template to PGN Admin with corrections

    5. PGN Nationals Admin bulk imports final membership statuses into the PGN Community so chapter may be invoiced for dues

  • The nationally required programming for this Spring is still to be confirmed. We will provide an update on this as soon as we have this finalized.

  • Spring 2025 Form & Dues Deadlines* (All forms are linked below)

    • New Member Education Manual: due February 15th - To be completed by New Member Educator / VP Membership

    • New Member Roster: due March 1st - To be completed by New Member Educator / VP Membership

    • Chapter Semester Report: due March 15th - To be completed by E-board Member

    • DEIB Form: due March 15th - To be completed by DEIB Chair

    • Dues Deadline: due March 31st - To be paid by President / VP Finance

    • Pennies: due March 31st - To be paid by President / VP Finance

      • Pennies are a PGN tradition and help to fund the PGN Scholars Foundation, which is used to pay grants back to students and chapters. The formula for charging chapters pennies is 1 penny per member x the # of years that PGN has been an organization, so for this year the formula would be: .01 x # of members x 1.01 (for 101 years of PGN)

*Note: If your school is on the quarter cycle, we will follow-up with different deadlines separately

Things to do right now:

  1. Update your PGN Website for Spring Recruitment (be sure to adhere to branding guidelines!)

  2. Provide your Recruitment timeline and other important dates to Yvette at admin@pgnleaders.org for Spring event planning

  3. Review the National Forms and Deadlines section & set reminders on your calendar (these will also be posted in the Chapter Executive Board Group

National Forms & Deadlines

  • Chapter Semester Report

    The Chapter Semester Report provides PGN Nationals with important information about the membership of your chapter. Please fill this out no later than October 15th in the Fall Semester and no later than March 15th in the Spring Semester.

  • National Dues

    Nationals will invoice your chapter for semester dues after the completion of the Beginning of Semester report. Dues are to be paid no later than October 31st in the Fall Semester and no later than March 31st in the Spring Semester.

    Be sure your membership counts are accurate on the PGN Community, since this is how you will be invoiced*

    2025 Renewing Member Dues $55.00

    2025 New Member Dues $80.00

    Spring 2025 Temporarily Inactive Member Dues $0.00* This will be changing in future semesters

    For any members requiring financial assistance with National dues, please refer to the 501(c)3 Scholars Foundation Grants form below.

  • Risk Management Form

    Who is required to sign: All new members looking to be part of the National PGN organization, must review, understand and sign this form. The National Code of Conduct was added in addition to the Risk Management form in 2020 and was ratified at the 2021 National Convention by all Chapter Presidents.

    All existing members may be asked by their on-campus leadership or PGN Nationals to re-sign the policy at any time to renew their commitment, review any updates, or for any other purpose.

    By signing this form, members are confirming that they have read, understand, agree and commit to following and enforcing these policies. Please ensure this is completed by all new members prior to filling out the Beginning of Semester report.

  • New Member Education Form

    All chapters must submit their New Member Education manuals prior to accepting a new class. National Council will review each manual and New Member Education program. We will be in touch if any changes need to be made prior to the start of your New Member Education process.

    We understand that chapters may be on different timelines with recruitment. All New Member Educators should submit the form by September 15th in the Fall Semester and February 15th in the Spring Semester unless your program starts prior to this date.

  • DEIB Form

    The DEIB Form offers an opportunity for PGN Nationals to track our collective commitment to our values of Diversity, Equity, Inclusion and Belonging. The DEIB Chair for each chapter should fill this out no later than October 15th in the Fall Semester and no later than March 15th in the Spring Semester.

    The responses will be shared with the larger PGN community as an opportunity to share best practices and surface the needs of our chapter community.

  • New Officers Report

    The New Officers Report provides PGN Nationals with important leader contact information for your chapter. Please fill out this form when your E-Board and additional leaders turn over (by December 15). The following leaders should complete this form for each chapter:

    • President

    • VP Internal

    • VP External

    • VP Communications

    • VP Finance

    • VP Membership

    • New Member Educator

    • DEIB Chair

  • IRS 990-N Forms

    The IRS 990 N Form must be filled out by each chapter by December 15th.

  • 501(c)3 Scholars Foundation Grants

    Individual & Chapter Grants

    The PGN Scholars Foundation, which is separate from Nationals and its Chapters is a 501(c)3 organization, set up for the sole purpose of furthering PGN’s Philanthropic and Professional Development Endeavors.

    Individuals may apply for grants for:

    • Financial Aid (Dues, Books), Study Abroad, Professional Development, Entrepreneurial Opportunities, or Diversity Opportunities

    Chapters may apply for grants for:

    • Philanthropic Events / Programming, Professional Events / Programming, Entrepreneurial Opportunities, Diversity Opportunities

    For members or chapters looking to apply for a grant, please fill out this form.

    Please be sure to read and collect any grant requirements prior to applying.

  • 501(c)3 Scholars Foundation Fund Disbursement

    For schools with allocated funds in the Scholars Foundation, fill out this form to request your disbursement. As a reminder, funds may only be disbursed for philanthropic or professional purposes.

  • 501(c)3 Corporate Fundraisers

    Conducting a corporate or business fundraiser where your chapter gets to sell or gets people to purchase a product for a cut of sales? (Common examples include: Chipotle, Yankee Candle, and Potbelly fundraisers)

    Fill out this form to notify the PGN Scholars Foundation of an upcoming business fundraiser at least 10 business days prior to the fundraiser date.

    If a corporation has provided you with a form or website to fill out, please complete all information related to your event, then include the relevant information in the form linked above.

    Fundraising checks received must include the school name on the check or in the notes.

  • 501(c3) Corporate & Alumni Donations

    The PGN Scholars Foundation is recognized by the IRS as a 501(c)3 organization and can provide tax benefits to donors.

    For chapters looking to collect corporate sponsorship funds or alumni donations, the Scholars Foundation may be used and the funds will be allocated to your chapter for disbursement.

Leadership Resources

  • PGN’s Membership Management Tool hosted on Hivebrite. Connect with both PGN Active Members and Alumni across the country and globe.

  • PGN’s asynchronous leadership learning platform hosted on Kajabi. Explore basic business skills, learn more about managing your members on the PGN Community, and understand PGN’s History and National organization.

    • Keep member profiles up to date on the PGN Community

    • Use the appropriate PGN branding

    • Submit forms and dues on time

    • Ensure all chapter members and new members have signed the Risk Management Policy

    • Attend all national-level conference calls and any other mandatory trainings

    • National Convention

      • Send 1-2 members (the President + 1 more E-Board member) to the National Convention in February 2024

    • Use general professionalism (e.g., respond to emails and inquiries within a timely fashion, attend scheduled meetings)

    Failure to comply with any of these items will land your organization in poor standing and incur a $150 fine. Fines are cumulative.

Frequently Asked Questions

How much are dues?

  • New Member Dues $80.00

  • Renewing Member Dues $55.00

  • Temporarily Inactive (e.g., Study Abroad) $0.00

If I have a member that requires national dues assistance / financial aid, where should they go?

They may apply for a scholarship from the PGN Scholars Foundation. These scholarships will only cover the National portion of their dues. You may choose to implement something similar at the chapter level to cover that portion of their dues if you wish.

When are dues paid?

Dues are required to be paid by October 31st in the Fall Semester and by March 31st in the Spring semester. Extensions will be granted if they are requested 7 days prior to the deadline. Membership counts must be complete and accurate in the PGN Community prior to your invoice being issued. Invoices will be issued via Quickbooks to the emails provided in the New Officers Report.

When is the National Convention typically held?

The National Convention is generally held in February and each school sends 1-2 members in person. Further information about location and timing will be sent out to Chapter Presidents.

Where do I order graduation cords for graduating seniors and how can I get reimbursed?

Graduation cords can be ordered here. Request for reimbursement can happen when filling out the Beginning of Semester report, where you can upload a receipt of your cords and a credit will be added to your dues invoice. If you purchase your cords after filing the Beginning of Semester report, please submit a T&E report.

I don’t have access to my PGN Website, how do I get access?

You need to have access to Squarespace to edit your website. If you do not have access, please read these instructions and request access for your Technology Chair / VP Communications / VP Marketing.

Where are the branding guidelines, logos, and templates?

In the All Collegiate Member Group on the PGN Community, under Media Center, you can find PGN logo files, recruitment marketing link, videos, royalty-free music, and brand guidelines.

How do I update my PGN Community group or members?

You can find an admin guide and full FAQ’s here. You can also refer to the Membership Management course on PGN University for guided assistance.

What if I need pins?

You should already have enough pins for the Fall 2023 semester from a previous shipment. If you need more pins immediately, please document this in the beginning of semester report. Additional pins will be provided to the E-board at the 2024 National Convention for Spring 2024 new members.

Where can I find more resources?

In the Chapter Executive Board Group on the PGN Community, you’ll find tabs called “Media Center” and “Forums.” The Media Center houses Executive Board-only content like recruitment training, ceremony scripts, how to update the PGN Community, and how to pay dues. In “Forums” we’ve answered basic FAQs.
